Officer Descriptions

President
The President is responsible for the following:

  1. Providing leadership and direction for all activities of the Association, the Executive Board and committees and task forces of the Association.
  2. Monitoring the fiscal condition of the Association and for ensuring the Association’s compliance with all state and federal corporation and tax requirements.
  3. Presides at the annual meeting of the Association, any special meetings of the Association, and the Executive Board Meeting.
  4. Serving as the official representative of the Association and the Executive Board or delegates such responsibility to others as may be deemed necessary.
  5. Establishing, with the confirmation of the Executive Board, all Association committees, task forces, etc. to include at a minimum: Awards, by-laws, Newsletter, Membership/Directory, Training, Conference and Scholarship.

President-Elect – 3 year commitment
The President-Elect is responsible for the following:

  1. Submitting "Newsletter" articles for communicating with the membership.
  2. Carrying out special assignments and/or performing certain tasks, as requested by either the president or the Executive Board.
  3. Learning the duties of the President in preparation for assuming the presidency.
  4. Serving as a member of the Nominations Committee. Completing the terms of the President, pursuant to Article VIII, Section 8.03.

Past-President
The Past-President is responsible for the following:

  1. Providing guidance and advice to the President and the Executive Board.
  2. Perform such duties as are assigned by the President or are prescribed by the Executive Board.
  3. Chairing the Nominations Committee.
  4. Chairing the Training Committee and the Spring Conferences.
  5. Serving as Parliamentarian at all Executive Board meetings.

Vice President – Federal Issues 2 year commitment
The Vice President is responsible for the following:

  1. Chairing the Federal Issues Committee.
    1. Selecting members for the committee and ensuring a diversity of members.
    2. Scheduling meetings of the committee.
    3. Presiding at committee meetings and recording meeting minutes.
  2. Reporting Federal Issues Committee meeting activities and recommendations requiring Executive Board approval.
  3. Submitting "Newsletter" articles for communicating with the membership.
  4. In the absence of the President, presides at the annual meeting of the Association, any special meetings of the Association, and the Executive Board meetings. Performing other duties as assigned by the President or prescribed by the Executive Board.
  5. The V-P of Federal Issues will draft letters of support or comment to entities relative to legislative issues impacting the financial aid program on behalf of the Association.

Vice President – State Issues 2 year commitment
The Vice President is responsible for the following:

  1. Chairing the State Issues Committee.
    1. Selecting members for the committee and ensuring a diversity of members.
    2. Scheduling meetings of the committee.
    3. Presiding at committee meetings and recording meeting minutes. Reporting State Issues Committee meeting activities and recommendations requiring Executive Board approval.
  2. Reporting State Issues Committee meeting with CSAC and recommendations requiring Executive Board approval.
  3. Submitting "Newsletter" articles for communicating with the membership. Performing other duties as assigned by the President or prescribed by the Executive Board.
  4. The V-P of State Issues will draft letters of support or comment to state entities relative to legislative issues impacting the financial aid program on behalf of the Association.

Secretary
The Secretary is responsible for the following:

  1. Keeping and maintaining the records of the Association.
  2. Mailing of meeting notices and other such communication as provided for in the by-laws.
  3. Ordering and maintaining a supply of Association stationary.
  4. Performing other duties as assigned by the President or prescribed by the Executive Board.

Treasurer
The Treasurer is responsible for the following:

  1. Disbursing all monies of the Association.
  2. Maintaining adequate and appropriate records of all transactions.
  3. Work with the Treasurer Elect and Past Treasurer to reconcile appropriate records of all transactions.
  4. Assisting with the formulation of the Association’s annual budget and recommending financial policies.
  5. Submitting periodic financial reports to the Executive Board.
  6. Assisting any Association committee or sponsored activity needing advice or financial services.
  7. Working with the Membership/Directory Committee on record and providing membership information to Association committees and officers.
  8. Performing other functions as requested by the President or prescribed by the Executive Board.

Treasurer Elect – 3 year commitment
The Treasurer Elect is responsible for the following:

  1. Receiving all monies of the Association, Bank deposits.
  2. Track and log all checks received on the association’s behalf.
  3. Collect monies for past due balances.
  4. Work with the Treasurer and Past Treasurer to reconcile appropriate records of all transactions.
  5. Assisting any Association committee or sponsored activity needing advice or financial services.
  6. Working with the Membership/Directory Committee on record and providing membership information to Association committees and officers.
  7. Performing other functions as requested by the President or prescribed by the Executive Board.

Past Treasurer
The Past Treasurer is responsible for the following:

  1. Monitoring the fiscal condition of the Association and ensuring the Association’s compliance with all state and federal corporation and tax requirements.
  2. Ensuring adequate documentation and storing of the Associations Historical records/documents.
  3. Work with the Treasurer Elect and Treasurer to reconcile appropriate records of all transactions.
  4. Assisting with the formulation of the Association’s annual budget and recommending financial policies.
  5. Assisting any Association committee or sponsored activity needing advice or financial services.
  6. Submitting a duly audited annual financial report to the Executive Board.
  7. Ensure regular audits, managing funds for the Association.
  8. Access to De-activate and activating credit cards
  9. Performing other functions as requested by the President or prescribed by the Executive Board.
